LETTING CLERK KNOW WHEN A VACANCY OCCURS ON COUNTY COMMITTEE

A County Committee seat can become vacant if someone decides not to initially run for office if a Democratic County Committee Member changes their party affiliation, the County Committee Member moves outside of the district, a County Committee Member voluntarily resigns, or the County Committee Member passes away.

In the event of a vacancy, regardless of how the vacancy occurred, Municipal Democratic Chairs are required to do the following before filling the vacancy:

Email the Middlesex County Clerk’s Office the Notice of County Committee Vacancy form and then drop off or mail the original form to the Middlesex County Clerk’s Office in East Brunswick. This form must be notarized before it is emailed and the original is handed in. In the event of a resignation, make sure to also include the letter or email directly from the County Committee Member.

It is vital that you email the completed form to the Middlesex County Clerk’s Office and NOT your Municipal Clerk’s Office. Submitting this form to your Municipal Clerk’s Office may cause delays in the process. 

FILLING VACANCIES ON COUNTY COMMITTEE

Before filling vacancies on your Municipal County Committee, make sure to confirm with the Middlesex County Clerk’s Office that a vacancy exists and review your Municipal Democratic Committee Bylaws. Email our office if you have any questions. Once you are ready to fill a vacant seat, you must do the following:

1. Email the Middlesex County Clerk’s Office and the Chairman the County Committee Appointment form.

2. Email the Middlesex County Clerk’s Office and the Chairman the completed Oath of Allegiance-Certificate of Acceptance form that is completed by the newly appointed County Committee Member. The County Committee Member will not be recognized without this completed form. 

3. Mail the original copy of the Oath of Allegiance-Certificate of Acceptance form to the Middlesex County Clerk’s Office.

Submitting any of these documents to your local Municipal Clerk’s Office may cause delays in filling your County Committee seat. All three (3) steps above must be completed to fill a vacant County Committee seat properly. 

Once you have confirmed with the Middlesex County Clerk’s Office that the paperwork was correctly submitted, email the MCDO Team the newly appointed County Committee Member’s contact information.

The MCDO will use the official list kept by the Middlesex County Clerk’s Office for Convention and Reorganization meetings. Municipal Chairs must update lists at least one (1) week before each major event.
